1. Lock the date before anything else

2. Get the headcount range, not the number
You will never have an exact number, so stop trying. Work out a realistic floor and ceiling instead, and check the venue can handle the ceiling. Putt House takes groups from 10 up to 150+ people, so the usual "we invited fifty and ninety turned up" problem is not one you have to solve.
3. Decide what people will DO
This is the part most venues quietly leave to you, and it is the part that decides whether the party is remembered. A room with food in it needs constant hosting. A place where there is an actual activity does the work for you, because the group organises itself around the game.
- Mixed ages? Mini golf works for everyone from kids to grandparents.
- Teenagers? Laser tag, and expect to book more than one session.
- A long evening? Both, with food in between, so there is a natural break.
4. Sort food last, not first

- What is the real maximum, not the comfortable maximum?

- How late can we stay?
